The Process

AerEthos handles everything from start to finish. After your school signs on, we introduce ourselves directly to the year group, run the student submission system, design every single page from scratch, send you a full proof for sign-off, manage printing, and deliver books to your school. Your total involvement is one introductory conversation and one final approval.
The full timeline is typically 12–16 weeks. Onboarding and student outreach take the first one to two weeks. Content collection runs for three to six weeks — this is usually the biggest variable depending on student response rates. Design and revision take four to eight weeks. Print and delivery is the final two to three weeks. We build a bespoke timeline with every school at the start, anchored to your graduation date.
Very little. You provide us with a student list and one main contact — typically a year head or TY coordinator. You remind students of deadlines when we ask you to. You review the final watermarked PDF proof before we print. That's the full extent of it. Everything else — student outreach, content collection, design, production, delivery — is handled entirely by AerEthos.
Ideally schools sign on at the start of the academic year in September or October, or at the end of the previous year in May. This gives the most relaxed, highest-quality process. Our preferred latest sign-up is February. We operate a hard cut-off in April for late or emergency projects — these are limited slots with tighter timelines and reduced creative flexibility.
Most deadline pressure comes from late student submissions rather than school onboarding, and we build buffers into the process for exactly this reason. For schools that come to us late, we can offer a compressed timeline in limited cases — the fastest turnaround from onboarding to delivery is approximately three to four weeks. Rush projects have reduced creative flexibility and do not include AerEthos Vision.
Once all student content is locked, we produce a complete watermarked low-resolution PDF of the entire book and send it to your school for review. You check every name, every photo, every page. You can request corrections and changes, and we implement them. Nothing goes to print until you give written approval. We have never sent a book to print that the school wasn't happy with.
