The school manages every part of the process. As a parent, you don't need to do anything — except make sure your child knows it's happening.

Step 01

The school signs up

A school principal or year head contacts AerEthos. We handle the full setup — design brief, student submission portal, timeline, and delivery. The school coordinates everything internally.

Step 02

Your child submits

Students fill in their own page: their photo, a quote, two songs, and a few memories. Every field is optional. The whole thing takes about ten minutes. AerEthos designs each page individually from their submissions.

Step 03

You receive it at graduation

Books are delivered to the school in time for the graduation ceremony. That moment — walking out with the book in hand — is what parents consistently tell us stays with them.

The only thing we ask of parents: tell your child their school is doing this. Student participation is what makes their page exceptional — and that starts with them knowing it's happening.

AerEthos processes student data as a GDPR-compliant data processor, acting on the school's instruction. Here is exactly what that means in plain English.

We only use data to make the yearbook

Photos, quotes, and personal content submitted by your child are used exclusively to design their yearbook page and operate the Vision platform. Nothing else, ever.

We never sell data

AerEthos does not sell, share, or licence student data to any third party. We do not use student content in advertising without explicit separate consent.

Specific protections for under-18s

We have defined protocols for students under 18 — consent flows, data minimisation, and support for schools in their parental notification obligations.

Your child can request removal

Any student or parent can request that their personal content be removed from the Vision platform at any time. Requests are actioned within 14 days. Contact nathan@aerethos.com.

All data is encrypted in transit and at rest

HTTPS enforced across every AerEthos system. Data stored with AES-256 encryption via Vercel. Payment data processed exclusively by Stripe — we never store card details.

AerEthos operates a full GDPR Article 28-compliant Data Processing Addendum with every school. It covers sub-processors, security measures, breach notification (within 24 hours), data subject rights, international transfers, and a 30-year Vision hosting commitment.

Common questions

Your questions,
answered plainly.

No. Participation is entirely voluntary. Students choose whether to submit their content. Schools encourage it, but no student is required to take part. Any student who doesn't submit still receives the book — their page will simply be left blank or handled based on school preference.

Pricing is set by the school, not by parents directly. AerEthos charges the school a per-student rate, and the school decides how to pass that on. If you have a question about the cost at your child's school specifically, your school admin will be able to tell you.

The submission window is set by the school and communicated to students directly — usually several weeks before the graduation date. AerEthos sends reminder emails and the school's year head will follow up. If your child is unsure, they should check with their school.

Late submissions are handled case by case. If your child has missed the deadline, they should contact their school year head immediately — and the school will reach out to AerEthos on their behalf. We make every effort to accommodate late submissions where print timelines allow.

AerEthos was founded in 2023 in Waterford after identifying a clear gap — Irish schools lacked a premium, fully managed yearbook service. Most existing options required schools to do significant design and coordination work themselves. AerEthos was built to change that.
